Job Role
The Payroll Office Administrator is responsible for supporting the accurate and timely processing of payroll while providing general administrative support to the payroll and finance functions. The role ensures employee records are maintained, payroll queries are resolved efficiently, and all payroll activities comply with company policies and statutory requirements.
Key Responsibilities
Payroll Administration
- Support the preparation and processing of weekly and monthly payrolls.
- Input, update, and maintain employee payroll data, including new starters, leavers, salary changes, and contractual amendments.
- Process time sheets, overtime, bonuses, commissions, and statutory payments.
- Ensure payroll records are accurate, up to date, and compliant with GDPR requirements.
- Assist with pension administration, auto-enrolment processes, and payroll deductions.
- Prepare payroll reports and distribute payslips as required.
- Assist with end-of-year payroll activities, including P60s and other statutory documentation.
- Support payroll audits and compliance checks.
Employee Support
- Respond to payroll queries from employees and managers in a professional and timely manner.
- Investigate and resolve payroll discrepancies.
- Provide guidance on payroll procedures and processes where appropriate.
Office Administration
- Maintain accurate digital and paper filing systems.
- Produce correspondence, reports, and documents as required.
- Support finance and HR teams with administrative tasks.
- Monitor payroll inboxes and ensure queries are actioned promptly.
- Assist with data entry, record management, and general office duties.
Compliance & Confidentiality
- Ensure all payroll activities comply with HMRC regulations, employment legislation, and company policies.
- Handle confidential employee and payroll information with the highest level of discretion.
- Maintain compliance with GDPR and data protection requirements.
Key Skills & Experience
Essential
- Previous experience in payroll administration or office administration.
- Strong numerical and data entry skills with excellent attention to detail.
- Good understanding of payroll processes and payroll legislation.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
Desirable
- Experience using payroll software such as Sage Payroll, BrightPay, ADP, or Moorepay.
- Knowledge of HMRC regulations, pensions, and statutory payments.
- Payroll qualification or relevant administrative certification.
