Manpower are urgently recruiting a full-time Regional Administration Assistant for our Client based in the Pride Park area of Derby. Working as part of a pooled administrative resource, the function of the role is to provide flexible administrative support to the membership teams in regional and district offices with the aim of providing an excellent service under the direction of the Senior Regional Administrator. The role may include reception duties so candidates must be confident in dealing with customers face to face and have a polite telephone manner.
Main duties include:
- Providing administrative assistance as directed by the Senior Regional Administrator
- General office administration including internal and external communications using appropriate resources to ensure that communication is effective and efficient at all times, using developed level IT and media skills.
- Maintenance of databases, records, filing systems both manual and electronic information with an office/region.
- Developing a good working knowledge of the membership system and creating and printing reports as required.
- Undertaking receptionist and other duties as required.
- Answering the telephone, taking accurate messages and passing on to the relevant individual. Dealing effectively with routine telephone queries from internal and external contacts in a professional helpful knowledgeable and efficient manner.
- Dealing with general callers/ visitors to the office in a polite and professional manner.
- Receiving and efficiently sorting both incoming post and emails in accordance with line manager guidance, as well as being responsible for the typing, preparation and despatching of outgoing post and emails to relevant contacts / members as necessary.
- Ensuring incoming and outgoing queries and communications are dealt with proactively dealing with such issues as necessary.
- Building good working relationships with other team members and colleagues in order to meet team objectives.
- Maintaining stock of stationery, whilst keeping all storage areas clean and tidy, and maintaining supplies of company printed literature for recruitment campaigns; and being responsible for removing out of date material as and when appropriate.
- Booking meeting rooms and making catering arrangements for meetings where required.
The successful candidate will possess the following qualities and experience:
- A strong and demonstrable customer service orientation and as experience working at the customer interface preferably in a fast moving and multi-cultural environment.
- Excellent administrative and office skills including IT and digital skills, and is proficient in Outlook, Excel, Word, PowerPoint.
- Able to organise and maintain database systems and works with accuracy.
- Thrives in a collaborative environment, is supportive of others in the team whilst being accountable for own work.
- Enjoys meeting visitors and solving their problems / queries and acts as an 'ambassador' for the Union.
- Has excellent communication and interpersonal skills both in person and on the telephone.
- Is proactive, takes initiative, is results-oriented and is willing to support others.
- Has attention to detail and can plan and organise own work on a daily basis.
- Has a knowledge and understanding of and be interested in working for a progressive trade union.
- Is punctual trustworthy and reliable.
- Is able to travel within the Region as may be required from time to time.
Hours: Mon to Thur 0900-1700, Fri 0900-1600
Salary: £19.36 ph
